House Manager / Volunteer Coordinator

JOB SUMMARY

The House Manager is responsible for arranging and coordinating the hospitality needs of MMA events.  Works closely with and under the direction of the Assistant Director.  Regularly requires 1-2 weekday nights (this varies) and occasional weekend hours. Generally, hours are flexible.

ESSENTIAL DUTIES

  • Hours Vary (Fiscal year 2022-2023 weekly average 13.5, Fiscal Year 2023-24 weekly average 14.7, Fiscal year 2024-2025 weekly average 14).
  • Works with people and organizations who are reserving/renting space in the MMA to plan their event.
  • Responsible for providing bar service for events. Manages bar cash box. Acts as bartender for smaller events or hires bartenders for larger functions. Coordinates and schedules Tips training/recertification every three years.
  • Maintains hospitality inventory and certain office supplies.
  • Coordinates event arrangements with appropriate MMA staff for set-up and clean-up.
  • Coordinates and maintains lists of caterers, Tips-certified bartenders, etc.
  • Coordinates volunteers and paid workers for special events (GALA, ON TAP and other museum needs (welcome desk, etc.).
  • Drafts and circulates room event forms to staff.
  • Assists GALA and Festival committees in planning and execution of those events.
  • Secures liquor/food vendors/service personnel for MMA events.
  • Keeps hospitality equipment and kitchen clean and in order, including laundering and folding of tablecloths/dishtowels/work rags, cleaning coolers and tubs, bagging ice, etc.
  • Other duties as assigned.

QUALIFICATIONS

  • Experience in hospitality-related activities, including liquor service, catering service, and/or restaurant/hotel environments, events management.
  • Proficient with PC computer programs and point of sale system.
  • Possess excellent writing, editing and verbal communication skills, along with ability to work with a wide range of groups and individuals.
  • Must be highly organized and possess excellent interpersonal skills.
  • Possess (or be willing to obtain) Tips certification to be able to bartend and supervise bartenders.
  • Regular walking, standing, bending, twisting, lifting at least 20 pounds, climbing stairs and short ladders, and standing for periods of 2 or more hours.

EDUCATION

Minimum of two-year degree or comparable work experience in business or retail management.
