The MMA Accounting Manager functions as the bookkeeper for Museum operations and provides general front office support. Also responsible for assistance of the Museum Store operations, particularly with the accounting and bookkeeping functions.
Essential Duties and Responsibilities:
- Maintain all QuickBooks accounts for shop and operations.
- Complete deposits for both store and operations on regular basis. Record dates of deposit in Cash Log. Record all deposits and ACH transfers to checking and deferred revenue accounts as appropriate. Enter deposits into QuickBooks, make electronic deposits and transports deposits to bank when necessary.
- Reconcile all bank accounts daily.
- Complete all end-of-month for store and operations. Work with outside accountant at month’s end.
- Prepare, review and analyze all monthly financial reports, for store and operations, as well as operations master budget and all required MMAF monthly department reports.
- Maintain and review daily sales records for store.
- Record all Prepaid and Deferred Revenue transactions as needed.
- Review, code, and prepare all payables and invoices for approval by Executive Director.
- Review, code, reconcile, prepare and process monthly credit card purchase reports on all staff.
- Process credit cards for membership renewals, reoccurring memberships and general office.
- Prepare and create all invoices and follow-up on payments.
- Prepares all check requests. Manages distribution process for artist and vendor payments.
- Report and record sales tax.
- Manage and maintain petty cash records.
- Create and maintain files for accounts payable and records.
- Compile numbers as requested by Executive Director.
- Assist entering data into and maintaining Bloomerang donor software.
- Process and mail 1099s.
- Run semimonthly payroll including:
- Fund HSA & 403B
- Payroll taxes and garnishments
- Payroll reports
- Responsible for new hire employment forms and maintaining employee personnel records.
- Provide assistance with annual audit requirements working with staff and auditors.
- Participate in MMA public and fundraising events.
Communications:
- Communicate regularly with MMA staff, store associates, and volunteers.
- Attend regular staff meetings.
- Keep up to date on exhibition schedules and programming of museum.
General Front Office Support:
- Coordinate all independent contracts, working with Curator of Education and other staff as needed, from point of initiating with the potential contractor, securing W-9’s, and issuing payment upon completion of the contract.
- Process checks for Regional Award Winners and Purchase Award winners, raffle winners, securing W-9 forms from Artists.
- Cover for Executive Assistant when away.
- Other duties as assigned.
Qualifications and Experience Requirements:
- Must have 3-5 years experience with accounting practices, office management.
- Must be proficient with PC computer programs, and have extensive skills in Quick Books, and proficiency in spreadsheets and database management.
- Must possess business or professional writing and editing skills.
- Must demonstrate excellent verbal communication skills and an ability to work with a wide range of groups and individuals
- Must be highly organized.
- Some non-profit organization experience is desired.
Educational Requirements:
- Minimum of two-year degree or comparable work experience in business and retail management.
Salary:
$45,000-$50,000 with Benefits.
